Kapisch Bhardwaj · AI Adoption & Transformation Architect

From AI activity
to AI adoption.

Most organisations already pay for AI. Far fewer have changed how the work gets done. I close that gap with AI workflows tailored to each function and role, from the leadership decision to daily work, as one accountable partner.

The operating problem

AI does not scale as a collection of tools.

Most AI transformations fragment across strategy, technology, workflows, adoption, and delivery. I connect them as one operating system.

  1. 01
    Licences are bought.

Usage stays uneven, and nobody can say which roles changed how they work.

  2. 02
    Pilots are launched.

Few reach daily work, because the workflow, the data boundary, and the owner were never designed.

  3. 03
    Workshops are run.

Awareness rises for a week. Habits do not change without role-specific practice and follow-through.

Adoption is not a communications layer added after the technology. It is the system that determines whether technology changes how work gets done.

Built around your function

Tailored, not templated.

There is no AI playbook that fits every function. Every engagement starts from how one function actually works. The method stays consistent. The solution is built around five things.

Function brief Tailored per engagement

Drafted with your team during Diagnose, before any technology is proposed.

  1. 01Roles

Who does the work, and where their time actually goes.

  2. 02Decisions

Which judgements AI should support, and which stay human.

  3. 03Data and risk boundaries

What may leave a system, and what never does.

  4. 04The tools you already license

    No new platform by default.

  5. 05Measures that matter to that function

Cycle time, quality, capacity: the numbers this function already trusts.

Method: consistent · Solution: built for this function

One accountable partner

Strategy from someone who ships.

AI programmes usually pass from a strategy deck to an implementation partner to a training plan, and lose momentum at every handoff. I carry the work across all five disciplines, so the person who frames the decision is the person who sees it working.

  1. 01Strategy

Tie AI ambition to operating priorities, decision quality, and measurable value.

  2. 02Workflow architecture

Design workflows tailored to each role: faster, clearer, more reliable.

  3. 03Product building

Build working prototypes fitted to your data, tools, and process.

  4. 04Enablement

Build the playbooks, champions, and learning paths that make adoption durable.

  5. 05Adoption measurement

Measure usage, quality, and cycle time so the portfolio improves every iteration.

The builder proof

I build with AI every day.

Alongside enterprise work, I design and ship AI-native software under OneKapisch, in public, built around the same AI tools your teams are adopting. When I recommend a workflow, I have usually built one like it.

The adoption architecture

Four decisions.
One accountable path.

Strategy, technology, workflows, and people pass through four visible decision gates before adoption is treated as real.

The flagship engagement

The Functional AI Adoption Sprint.

A focused engagement, tailored to one function, for leaders who need working evidence, not another abstract AI roadmap.

Built for functions where

  • A function has many AI ideas but no trusted way to choose where to start.
  • Licences and workshops exist, but role-specific adoption remains inconsistent.
  • Teams need working examples that respect real data, risk, and process boundaries.

You leave with

  1. 01
    Workflow opportunity map

A shared view of high-friction moments, decision points, and adoption constraints.

  2. 02
    Prioritised portfolio

A ranked set of opportunities with value, feasibility, risk, and evidence criteria.

  3. 03
2 to 3 tailored workflows or prototypes

Concrete interventions that teams can test in their actual work context.

  4. 04
    Adoption playbook

Roles, routines, guardrails, learning patterns, and internal ownership.

  5. 05
    Baseline and 90-day roadmap

Measures, sequencing, and the next operating decisions needed to scale responsibly.

Selected work

Evidence, with the boundary left intact.

Enterprise transformation work often carries confidential operational context. Public evidence therefore focuses on the problem class, my contribution, the verified outcome, and the boundary of the claim.

01Procurement workflow

From negotiation preparation to decision-ready intelligence

60 to 75% less preparation time within the defined workflow.

Context
A defined procurement negotiation workflow depended on repetitive manual preparation across fragmented inputs.
My contribution
Workflow diagnosis, AI-assisted operating design, prompt and evidence structure, and adoption guidance.

Claim boundaryThe figure applies to the documented workflow, not to procurement as a whole.

02Capability building

From general AI awareness to role-specific practice

500+ professionals enabled through applied AI learning and adoption.

Context
Professionals needed practical confidence to apply AI inside real work, not only conceptual training.
My contribution
Applied learning architecture, workflow demonstrations, adoption formats, and champion enablement.

Claim boundaryEnabled describes participation in structured capability-building activity, not a universal productivity claim.

03Workflow portfolio

From scattered ideas to working AI workflows

10+ AI workflows designed and delivered across real work contexts.

Context
AI opportunities needed to move from isolated ideas into a coherent, testable portfolio.
My contribution
Use-case prioritisation, workflow architecture, prototyping, and operating guidance.

Claim boundaryPublic descriptions stay abstract where the underlying work is confidential.

Who you work with

The technology arrives long before the operating model.

Over ten years across strategy, operations, transformation, and delivery taught me one pattern. My work is building the operating model with your people, so the capability keeps compounding after I leave.

Before we talk

Questions leaders ask first.

Is this a standard package?

No. The method is consistent; the solution is not. Each engagement is tailored to one function’s roles, decisions, data boundaries, and the tools it already uses.

Do you replace our technology partners or internal IT?

No. I connect strategy, workflow design, delivery, and enablement so the tools and teams you already have produce real adoption. Where engineering is needed, I build working prototypes and hand clear specifications to the people who will own them.

What does a first engagement look like?

Usually the Functional AI Adoption Sprint: a workflow opportunity map, a prioritised portfolio, two to three tailored workflows or prototypes, an adoption playbook, and a baseline with a 90-day roadmap.

Which AI tools do you work with?

I start from the work, not from a vendor. Recommendations follow the workflow, your data and risk boundaries, and the tools your organisation already licenses.

How do you handle confidential context?

Engagements are designed around your data, risk, and process boundaries. Public evidence never names organisations or internal systems. It describes the problem class, my contribution, the outcome, and the limit of the claim.

Where do you work?

Founder-led from Germany, with selective enterprise engagements across Europe. Sessions run remotely or on site, depending on the work.
